The short version

We store what is needed to run your events and nothing more. We do not sell data. Event organisers own their attendee data; we process it on their behalf. Attendees who want their data removed should contact the event organiser, and we help organisers honour those requests.

1. Who we are

LiveHQprovides branded event portals and attendance tracking. For account holders (event organisers) we are the data controller of account information. For attendee data inside an organiser's events we act as a processor on the organiser's instructions.

2. What we collect

  • Account data: name, email, password hash, workspace name, billing details when you subscribe.
  • Attendee data supplied by organisers: name, email, phone if provided, ticket tier, and the identifier from the organiser's CRM.
  • Attendance data: which rooms and streams an attendee joined, when, from which device type, and for how long. This exists so organisers can see who attended.
  • Technical data: logs and approximate location from IP for security and abuse prevention.

We do not collect payment card numbers ourselves; payments are handled by our payment processor.

3. How we use it

  • Operating portals, routing attendees, and producing attendance analytics for the organiser.
  • Syncing data to integrations the organiser connects, such as GoHighLevel.
  • Securing the Service, preventing abuse, and meeting legal obligations.
  • Sending organisers service emails. We do not email attendees for our own marketing.

4. Sharing

We share data only with subprocessors needed to run the Service: cloud hosting (Vercel), database and authentication (Supabase), and, where an organiser connects them, their own Zoom, YouTube and CRM accounts. Each subprocessor is bound by its own data protection commitments. We do not sell or rent personal data.

5. Retention

Account data is kept while your account is active and for 30 days after closure. Attendee and attendance data is kept while the organiser's account remains active, because organisers rely on it for follow-up, and is deleted with the account or on the organiser's instruction.

6. Your rights

Depending on where you live you may have rights to access, correct, export or delete your personal data. Organisers can exercise these directly or by contacting us. Attendees should contact their event organiser first, since we process attendee data on the organiser's behalf; we support organisers in honouring these requests promptly.

7. Security

Data is encrypted in transit, access is scoped per organisation, and administrative access is limited and audited. No system is perfectly secure; we notify affected customers of any breach as required by law.
